Formal Report Writing

Writing report is an important task that the HR students often need to do and certain specific skill are required for preparing a fine report.  Report writing in the HR courses helps the students to gain the skills required to prepare the progress information, evaluation and appraisal reports, proposal etc in their professional life. Proficiency in writing formal reports is the gateway to organize the essential information and to utilize the knowledge at its best; it also reflects the professional image of the writer. Generally in the human resource management courses, the students are expected to prepare formal reports for their assignments.

There are number of difference between a well formed formal report from the informal once; especially in the length, structure and the tenor of the writing. A formal report must start with a brief summary of the report laying the statement of purpose of the writing, the objectives and scope of discussion and the constraints of the composition. Mostly the reports comprises of the primary data that is being collected through personal observation, interviews and other techniques. As well as the secondary data which are mostly collected from the published researches, press release etc. in preparing a good formal report, citations are used as the footnotes and along with the references in the bibliography for these secondary reports.

The format report must include three key segments which will give the required dimension to the report. The prefatory sections of the report will comprise of letter of transmittal, title page, table of content and an executive summary. The executive summary needs to be discreet and must reflect the sole purpose and coverage of the report. The body of the formal report must encompass of the introduction for the report, the discussion in regards to the findings and end with a proper conclusion. The third and the last part of the report must include recommendations making justice to the rationale of the report. The ancillary parts of the report must be also attached with the report, for instance, the bibliography, appendix etc.
